Terms of Use

These terms are an agreement between you and Astrolinks ("we", "us", "our") about the Astrolinks app ("the app") and the services that come with it: the AI included with Pro, the Team plan and our website. In these terms, "Astrolinks" and "we" always mean the company, and "the app" always means the software. Please read them with our Privacy Policy, which explains what the app records and where it goes.
By installing or using the app, or by buying a plan, you agree to these terms. If you use the app for a company, you confirm you may agree for it, and "you" includes that company.
1. Who can use the app
You must be at least 18 years old. The app is made for people doing paid work, for themselves or for clients.
2. Your licence to use the app
We give you a personal, non-exclusive, non-transferable licence to install the app on computers you own or control and use it for your own work, under these terms. A Pro license key is for you alone. With the Team plan, each seat is for one worker.
You may not:
- copy, sell, rent or share the app or a license key, except as these terms allow
- reverse engineer or take the app apart, except where the law lets you do so anyway
- get around license checks, the monthly or daily AI limits or other limits, or use our AI service for anything other than the app
- remove our names, notices or the open-source notices
The app includes open-source software and fonts under their own licenses. The Licenses page in the app lists them, and those licenses apply to those parts.
If you get the app from the Microsoft Store, the Store's own terms also apply to the download and to anything you buy there. Microsoft is not responsible for the app or for these terms; we are.
3. Using the app fairly
- Only record yourself. The app keeps a log of what happens on the computer it runs on. Install it only on your own computer, for your own work. Never use it to watch another person, or install it on a computer someone else uses, without their clear, informed agreement and any notice the law requires.
- Respect your clients. Your agreements with your clients may limit what you can share about their work, including with an AI service or in Slack. You decide what the app sends. Mark a client Private to keep everything about it away from AI, and use "Never record" for anything that shouldn't be logged.
- Take care with health, legal and financial records. If your work shows you patients' or other people's private records, for example for a medical or dental office, mark that client Private unless your client has agreed in writing that its information may go to an AI service and any agreement the law requires is in place (in the US, for example, a HIPAA business associate agreement). The app's AI features are not built for patient information.
- Use AI lawfully. Don't use the app's AI to create anything unlawful, harmful or deceptive. Anthropic's Usage Policy also applies to AI features.
- Don't misuse the service. No attempts to break into, overload or interfere with the app, our AI service, the Team service or other people's use of them. If you find a security problem, tell us as our security policy describes, and don't use it to reach anyone else's data.
4. Your content
Your activity log, notes, profile, clients and reports are yours. The app keeps them on your computer. We don't claim any rights in them. When you use the AI included with Pro, you let us pass your request to Anthropic and its answer back to you, which is all we do with it. When you send a report to your team, you let us store it and show it to your company, as described in section 10.
5. AI writes drafts. You check them.
- Reports and changes written by Claude are drafts. They can be wrong, leave things out, or describe your work differently from how you would.
- Read every report before you send it, and fix what isn't right. You are responsible for what you send to your clients or your company.
- The app tells Claude to use only the facts from your day and never to invent work, times or results, but it can still make mistakes.
- AI answers are not professional advice of any kind.
- If Claude writes something harmful or inappropriate, use Report an AI answer, in the summary's More menu, or write to info@astrolinks.org. We read every one.
6. Hours are your own log, not proof of work
The app counts time from what was in front on your computer. That count can be incomplete or wrong. For example, time away is taken back after a few minutes without the keyboard or mouse (on Windows, also during calls in apps it can't recognize there), private windows and anything on your "Never record" list are skipped, window titles may be off, and old days are deleted on the schedule you choose.
The app's log, summaries and hours are a personal record to help you write reports and bills. They are not a timesheet of record, not independent proof of work or attendance, and not a replacement for any time-keeping your client or employer requires. Check your hours before you bill anyone for them, and don't present them as verified by the app or by us.
7. Not for emergencies
The app is not a health or crisis service. If something you write suggests you may be at risk, the app shows crisis lines and keeps that message out of your report and away from AI, but it can't help in an emergency. If you might hurt yourself, call your local emergency number now (911 in the Philippines and the US), the NCMH Crisis Hotline in the Philippines (1553, or 0919 057 1553 or 0917 899 8727 from a mobile), or call or text 988 in the US.
8. Other services
The app can work with services other companies run: Anthropic (AI), Slack, your email app, the Microsoft Store and Paddle, our reseller. Their own terms apply when you use them, and we aren't responsible for them. If you use your own Anthropic key, your agreement with Anthropic covers those requests.
9. Plans, payment and renewal
- Who sells. Paid plans are sold by our reseller, Paddle, which is the merchant of record for the purchase. Paddle handles payment, tax, receipts and refunds, and its buyer terms apply to the purchase. We provide the app and the service.
- Free. The app works without paying, with these limits: up to 4 hours of counted time a workday (at 4 hours it stops counting for that workday and says so; nothing already recorded is changed or deleted, and counting starts again the next workday), up to 2 clients you can assign work to (more clients you made before are kept), and 5 reports a calendar month written with the AI included with Pro (with its everyday model; reports written during the trial don't count toward them). Changing a report by chat with that AI, Best writing, Hours for dates other than the current week (and their CSV), invoices, the weekly recap written with AI, "Write like this one", report languages other than your own, and the detailed breakdown are part of Pro. These are never limited: privacy settings, Pause, deleting, Remove everything, never-record lists, the app's language, Tasks, notes, summaries written on your computer, Copy, Slack and email drafts. You can use your own Anthropic key on any plan, paying Anthropic directly.
- The Pro trial. When you accept the first step of the welcome, you get 7 days of Pro at no charge, with no card. It ends by itself: nothing is charged and nothing is deleted. We remind you two days before it ends and on its last day. After it, the app is on Free unless you buy a plan.
- Pro is for one person. It removes Free's limits and includes AI without an Anthropic account of your own. The included AI writes with Claude Haiku 5.5, or with Claude Sonnet 5.5 when you choose Best writing.
- Fair use of the included AI. Pro, each Team or Business seat, and the trial include 150 AI writes and edits a calendar month (each report written and each change by chat counts as one; Test it doesn't count). The count starts again on the 1st of each month (UTC), and the Plan page shows how many you have used and when it starts again. After 150, the app says so calmly: your summaries, Copy, Slack, email and everything else keep working, and your own Anthropic key can still write with AI. To keep the service fair for everyone, the included AI also has a daily number of requests and a daily spending limit per license (currently 100 requests and 3 US dollars of AI use a day), and at most 2 requests running at once. With your own Anthropic key, none of these limits apply.
- Team and Business are billed per worker seat to a company, with at least 2 seats. Each person in a paid team gets Pro in the app while they are in the team. See section 10.
- Priority support (Business). Business customers can write to info@astrolinks.org; we answer within 1 business day. Everyone else gets support by email at the same address, without a set answer time.
- Prices depend on your country and are shown in your currency before you pay, with taxes where they apply. You pay in advance for each month or year.
- Renewal. Plans renew automatically at the end of each period, at the price you agreed to, until you cancel. Checkout says this clearly before you pay and asks you to agree to it separately, and your receipt says it again. For yearly plans we remind you 30 days before the renewal, with the date and how to cancel.
- Once a year, we remind you what your plan is, what it costs, how often you pay, and how to cancel.
- Cancelling is as easy as signing up. In the app, open Plan and press Manage plan: Paddle's page opens in your browser, and cancelling there is one more click. You can also use the link in any receipt, or email us. You don't have to call or explain. Your plan keeps working until the end of the period you paid for, then stops renewing, and the app goes back to Free. Nothing on your computer is deleted.
- Price changes apply only from your next renewal. We email you before the new price applies, with the new price and how to cancel, and you can cancel before it applies.
- Refunds follow our Refund Policy (astrolinks.org/refund-policy). A refund or a chargeback ends the license at once. This doesn't limit any right to cancel or get a refund that the law gives you, for example a 14-day right of withdrawal for consumers in the EU and UK.
- If a payment fails, Paddle will tell you and try again. Your plan keeps working for 7 days after the paid period while it does. If it still fails, the app goes back to Free. Everything on your computer keeps working.
- Checking your plan. To know your plan, the app asks our service about your license when you save or receive one, when you open Plan, and at most once a day while a license is saved. If it can't reach our service, the last answer counts for 3 days.
10. The Team plan
Team and Business. Both plans include the company inbox, tasks and goals, two-step sign-in for managers, and Pro in the app for each person in the team. They differ in these ways:
- Team keeps reports for up to 90 days (the company chooses how long, from 7 days).
- Business keeps reports for up to 2 years, can export reports and the inbox's activity log as CSV files, can require two-step sign-in for every manager, and comes with priority support (section 9).
If a company moves from Business to Team, reports older than 90 days are deleted at the next nightly clean-up, CSV export stops, and requiring two-step sign-in stops being enforced (managers who turned it on keep it).
How it works. A company buys seats and invites its workers. Each worker's copy of the app keeps its log on their own computer, as described in the Privacy Policy. The company sees only the reports each worker chooses to send to it, never their activity log, notes or AI chat, and their hours only when they choose to include them with a report. Removing a worker's seat stops their reports reaching the company. It never gives the company access to that worker's computer or log.
Our role. For reports workers send, the company decides how they are used and is responsible for them. We store and show them only for the company, under our data processing agreement with it.
What the company must do. A company that uses the Team plan, or asks anyone to use the app, must:
- have a lawful reason to ask its workers to use the app, and use it only for that reason
- tell its workers clearly, before they start, what the app records on their own computer, what the company receives, why, and for how long it keeps reports. Our worker notice template can help (astrolinks.org/team-notice).
- give every notice, and get every acknowledgment, the law requires where its workers are. For example: New York Civil Rights Law section 52-c (written notice when hiring, acknowledged by the worker, and a posted notice), Connecticut General Statutes section 31-48d as amended from 1 October 2026 (prior written notice, a posted notice, and a plain-language statement to new hires), and Delaware Code title 19, section 705 (notice acknowledged by the worker)
- consult or get the agreement of workers' representatives first where the law requires it (for example works councils or unions in Germany, France, Italy and the Netherlands), and assess the privacy risks first where the law requires it (for example a data protection impact assessment under the GDPR or the UK GDPR, or a privacy impact assessment in the Philippines)
- never pressure a worker to send their log, to include hours, to turn off the app's privacy settings, to keep it running outside working time, or to install it on a computer that other people use
- never make a decision about a worker's pay, discipline or job based only on reports or hours from the app, without a person checking them against other information
- if its workers are independent contractors, take its own advice on whether asking them to use the app fits that relationship
- answer its workers' requests about the reports it holds, and tell us promptly if it believes a report reached it by mistake
- keep its managers' sign-in details private, turn on two-step sign-in where it is offered, and tell us at once if it thinks someone else has signed in
Workers stay in control. A worker can pause the app, delete their own log, take back a report they sent, and leave the team at any time, with or without deleting what they sent. Nothing in a company's agreement with us changes that.
11. Changes to the app and these terms
We improve the app over time and may change or stop features. If we stop a paid feature during a period you paid for, we will offer a fair refund for the rest of that period.
If we change these terms in a way that matters to you, we tell you in the app or by email before the change takes effect. If you don't agree, you can stop using the app and cancel your plan. Using the app after the change means you accept it.
12. Ending this agreement
You can stop using the app and delete it at any time. We may suspend or end your license or plan if you seriously break these terms, for example by sharing license keys, misusing our AI service, or using the Team plan to watch workers in ways section 10 forbids, after telling you why where we can. Your data stays on your computer, and you keep it.
13. Warranties
We work hard to make the app reliable, but we provide it "as is". To the extent the law allows, we don't promise that it will be free of errors, always available, or right for a particular purpose. Some laws give you rights that can't be excluded, and nothing in these terms takes them away.
14. Limits on our liability
To the extent the law allows:
- we are not liable for indirect or consequential losses, lost profits, lost clients or lost data
- our total liability for anything to do with the app is limited to the amount you paid us in the 12 months before the claim
Nothing in these terms limits liability that can't be limited by law, such as for fraud, or for death or personal injury caused by negligence.
15. Law and disputes
If you are a consumer, you keep the protection of the laws of the country where you live, and you can bring a claim there.
16. General
- These terms and the Privacy Policy are the whole agreement between you and us about the app. For the Team plan, the company's order form and data processing agreement are part of it too.
- If a court finds part of these terms unenforceable, the rest still applies.
- If we don't enforce a term right away, we can still enforce it later.
- You may not transfer this agreement without our consent. We may transfer it to a company that takes over the app, and we will tell you if that happens.
